Student Attendance Monitoring

  • Why does the University monitor student attendance?

The University has a legal duty to report student attendance to UK Student Loan agencies, UK and Overseas sponsors, and to the UK Visa and Immigration Service (UKVI). Additionally, regular attendance to timetabled activities enhances your student experience and is a key element in supporting your progression, achievement, and employability.

The attendance monitoring process is not designed to be punitive, as we are aware there are many factors that can impact your attendance. Sending notifications when your attendance lapses helps us identify issues impacting your attendance at an early stage so we can offer appropriate support.

  • Where can I find a copy of the Student Attendance Policy?

  • Is attendance mandatory for my programme?

If you are studying an on-campus programme, your regular attendance to on-campus teaching activities is a mandatory requirement of your degree programme.

  • Not sure how to record your attendance in class?

Students are normally given an attendance code for each of their timetabled sessions, which you need to register in the University Timetable App to record your attendance in the class.

If you are not given an attendance code, please ask your lecturer to generate one for you. If you are unable to enter the attendance code, please email the Student Experience Team immediately after your class, including: Your full name; Student ID number; Attendance code; and the date, time, and module code for the relevant session.

  • Are there consequences for not recording attendance?

If you do not record your attendance regularly a case will be automatically created within the university’s Student Attendance Monitoring System.

If you are consistently absent from your timetabled sessions, you will be required to attend a formal meeting with the School and your Academic Advisor, to discuss any issues you may be experiencing. If your attendance case continues to be escalated due to lack of attendance, your case will then be referred to a Departmental Progress Panel, who have the authority to deem you withdrawn from the university due to failing to meet your programme’s mandatory attendance requirement.

If you are studying with the University on a student visa, or if you are a sponsored student, please note that the university is legally required to provide the UKVI and sponsors with information on your attendance.

Do not ignore Attendance Intervention emails - It is crucial for students to notify the School as soon as possible if anything is preventing you from recording your attendance to prevent unnecessary escalation of an attendance case.

Registering an Absence

  • Unable to attend university due to illness, or other sufficient reason?

If you are unable to attend a timetabled activity, you are required to submit an absence request, keeping your attendance record accurate and enabling us to offer appropriate support.

If you do not submit an absence request, your absence will be recorded as unauthorised, and you will eventually be flagged by the University Attendance Recording System. If your unauthorised absences continue, your attendance case will be escalated through the stages of the Student Attendance Policy, with increasingly serious consequences – Submitting an absence request will prevent this from happening.

Students can self-certify absences of up to 7 days on two separate occasions per term. Once these self-certification opportunities have been used, or if an absence request is submitted for longer than 7 days, the absence must be approved by the School for it to be authorised.

  • How do I record an absence from an Exam?

Students should not use the Absence Reporting System to record an absence from exams

If you are unable to attend an on-campus examination, you must inform the School as soon as possible in advance of your exam, or your earliest opportunity thereafter, by emailing: csstudy@liverpool.ac.uk ; you will then be advised to submit an Extenuating Circumstances (EC) claim.
